Privacy Policy

The Personal Information Protection Act (“PIPA”) governs the way private sector organizations in British Columbia collect, use, disclose and secure personal information. Personal information means all information about an identifiable individual, but does not include business contact information such as the name, position, business telephone, email and fax numbers of an individual.

Privacy Commitment

At Pinton Forrest Madden we are committed to respecting your right to privacy. We acknowledge the sensitivity of the personal information which may be provided to us in the course of our business practice. We recognize that ensuring the accuracy, confidentiality and security of your personal information is our professional and legal obligation.

We conduct our business in compliance with the terms of the PIPA. This policy outlines in general terms the principles we apply in protecting the personal information of current, past and prospective clients, candidates and other identifiable individuals, that comes within our custody or control.

Client Information

We collect client personal information for the following purposes:

  • to contract for and provide executive search, recruitment and selection services;
  • to bill and maintain accounting records.

By retaining Pinton Forrest Madden, our clients consent to the collection, use and disclosure of their personal information to the extent necessary to provide these services.

Candidate Information

We collect and use candidate personal information for recruitment and selection purposes. To the extent possible, we collect personal information directly from the person to whom the information pertains. If it is necessary to collect information from other sources, we do so with your consent and/or in compliance with the PIPA.

We do not disclose personal information for selection purposes without the candidate’s express consent.

Applicants, Potential Candidates and Referral Sources

We collect information about applicants, potential candidates and referral sources for the purposes of identifying and tracking individuals who may be suitable for recruitment. This information includes business contact information and correspondence notes.

We do not disclose personal information about potential clients and applicants without their consent.

Security

We recognize our obligation to protect personal information during the course of our business. We store personal information in internal databases which can only be accessed by Pinton Forrest Madden staff members. Contact and invoicing information is password protected.

Records such as resumes, interview notes, candidate data, etc. are secured on site in secured files. Records which have been marked for destruction are destroyed on site by a shredding company.

Access and Questions

We make every reasonable effort to ensure the accuracy and completeness of personal information which is likely to be used for a decision affecting an individual or if it is likely to be disclosed to another organization.

The PIPA permits individuals to request access to their personal information in our custody or control and for information on how their personal information is being used or disclosed by us. In addition, the law permits individuals to request that errors or omissions in their personal information in our custody or control be corrected. We will respond to all such requests in compliance with the PIPA.
